Hello Everyone

We have 10 different departments in the company with employee files. Each department director is allowed to view their department employee files only.  Our Finance Controller has security keywords applied that restricts her access to the Finance Department employees only.  However, she needs access to document type “Personnel Action Notice” for all employees in the company.  How can we give her access to this document type for all employees and still restrict her access of all other HR document types to her department employees only.

We have setup two user groups, “Controller” and “Finance Staff.”  In the Controller user group, she has access all HR document types for her department employees only.  In the Finance Staff user group she has access to the Personnel Action Notice for all employees.  However, under this configuration, she is still restricted to the employees within her own department and can’t see the Personnel Action Notice for all employees under other departments.  the security keyword configurationis as follows:

User Group = Controller - Can see all employee document types for her department personnel except her own.

                 Security Keyord EQUAL TO Active (Active Status - For Active Employees)

                Security Keyword EQUAL TO Finance (Home Department - For Finance Employees Only)

                Security Keyword NOT EQUAL TO Controller (Job Title - She can’t see her own employee documents)

 

User Group = Finance Staff – Selected finance staff can see only the document type “Personnel Action Notice for all company personnel. 

                 Security Keyword EQUAL TO Active (Active Status - For Active Employees)

 

Does anyone have an idea of how we can make this work?

If I'm reading it right, you may need to use different keywords for Department on those document types.

Thank you for your reply. All our HR document types are indexed and auto-foldered using values of the keywords for "Active Status, Home Department, and Employee #."
