Process for Insurance/Refunds/Claim Correspondence Scanning

What process are you using for Insurance/Refunds/Claim Correspondence Scanning?

We currently only scan this correspondence into to OnBase and then the documents get routed to workflow based on rules/operational processes for the staff to work and follow up. We not linking these documents back to Epic.

As we move forward with adding more Epic Affiliates we need to determine best practice for this. Should it be actually posting a $0 payment to the specific claim and then scan the document and attach it to that claim. Is there a way in Epic Resolute to assign to a staff member to?  What documents type names do you use if any?

Hi Pam,

For our Resolute HB folks we have a doc type for Correspondence they scan in OnBase, we link it to Epic via DocPop. The document has the Hospital Account number on it, so that when they click the button in Epic its retrievable via the Application Launcher button in HB.

For PB we have similar setup but based on patient MRN, a few doc types for correspondence then a button in PB for passing the MRN to OnBase to retrieve via DocPop.

As for reading, routing, follow up, they have processes outside of OnBase, but they use this for linking so follow up staff can retrieve through Epic. Workflow would be a great option though to scan incoming correspondence to then route for review.

Insurance Correspondence
Work Comp Incoming Correspondence
Work Comp Outgoing Correspondence
Work Comp Claim Image
Refund Request

 We started this project as well and we have mapped out the design that will allow our staff to follow up on correspondence. Using MRN only will most likely not give adequate linking because  a follow up is based on invoice number or claim number

We use OnBase to have the HB and PB correspondence scanned, and then upload a flat file to Epic to populate Epic Work Queues for RCM staff to follow up on.  There are quite a few articles in the forum talking about it.  Here's a link that may be helpful too.
