Hyland and Deltek have had a strategic technology partnership for several years now. This includes customers using  Hyland's AP automation solution to capture and process invoices and integrate with Deltek Costpoint for payables management. These same customers manage their projects with Deltek, but getting the project information into the system was laborious and error-prone. Customers typically use use spreadsheets to manually key in and import data into Costpoint without any data validation prior to inputting the required information into Costpoint. Approvals are not properly tracked and the process is heavily reliant on data entry by the requesters. 

 

To help expedite project submissions and ensure their accuracy, Hyland Services has developed a new project request solution called OnBase Project Request Management for Deltek Costpoint. This solution enables users to create project requests through a forms-based solution that leverages Hyland OnBase. The solution also provides data validation with direct lookups to Costpoint to ensure data accuracy, and a built-in rules help aid eases the creation of such requests.

 

Once a Request is complete, the solution creates a Unity form document that can route through OnBase Workflow for approvals and eventually submit the data to Costpoint. The benefits to customers are data validation, cascading filtering, approval history, assignment to correct individuals, various e-mail notifications throughout the process, and an automated export of accurate data to be imported into Costpoint.

 

This new solution is available for OnBase v24 and Costpoint v8.1.

1. Users will log into the Project Request Management for Deltek (OnBase App), to perform all work related to project creation.

2. Requesters can create new Project Requests or update existing Requests. New Projects are added to the Request.

3. Approvers can log into the Project Request Management Application to review and approve new Project Requests within Workflow.

4. Once the Project Request is approved, all related Projects are posted to Costpoint.

5. When Projects are successfully posted, they will be identified accordingly.

6. Unsuccessfully posted Projects return error messages which are displayed in a Project Creation issues screen. The Requester can make the appropriate updates and return the Project Request to be reposted.

7. Administrators will log into the Project Request Administration (OnBase App) to perform tasks which are not accessible to all Users.

8. Administrators can access all data related to the OnBase solution, as well as specific data within Costpoint (based on the data integration configuration).
