In Share, i can assign the "review and approve" workflow to a document, but have the following questions:

1. it doesn't seem like i can assign more than one person to the workflow at a time, however, if i assign person A to approve it, exit out of the workflow screen and then go back in to assign a different person B, it allows it. My questions is, since Share allows more than one person for the "review and approve" workflow, why do you have to envoke it as many times as you need approvers? Why not allow me to add more than one person to the workflow?

2. Once i have assigned the "review and approve" flow to the document, i can see in the document repository that it now has an icon and if i hover over the icon it says "belongs to x active workflows". My question is, in Share, how do see:
(a) WHICH active workflows it belongs to and
(b) WHO has yet to complete the workflow i.e. whose approvals am i waiting for?

I could see where i have 50 documents waiting approval from 30 people, knowing who has not approved which document would be crucial.
Any help on this would be great.

Answer for point 1.

The "review and approve" workflow is for a single reviewer,  that's what it is and that's what it does.

However there is nothing stopping you creating additional workflows so you could have (for example) two reviewers in parallel,
or three reviewers following each other.

It's not currently possible as we simply didn't have time to add it - remember Share is a v1.x product.

If this is important to you, please raise an Enhancement request in JIRA which is where we always prioritize new functionality.

Hi all,

Sorry to raise the post but I think (and my users  :wink: ) it's very important to be able to show the history of document approval (quality audits, end users …)
It can be a legal aspect !

The feature has been "roadmaped" ? If yes, when (approximately, depends on the target) ?

I'm starting with community 3.4.c , I've not found a way to 'audit' an object.

I have a folder with a rule that derive uploaded files to one of two folders, and there a rule that inform folder owner for the new 'inbox'. Then, they start workflows over that files, but once the workflow is ended, I've not found a way to view the trace of the file, (assignees, started workflows, steps over it, and closed workflows) from upload to last workflow closed.

If this is not available and nor else in plans, could this be achieved by other ways? Something like 'upload' (create) a symbolic object (maybe an xml?) with the content given trough a form, and then process the object like any other file (and apply rules, workflows and so), with a way that some admin could audit/view the whole trace of that object? who created it, what is the current state, what has been done already with it and what's pending (based on the current workflows)?
