Workdesk CE and team inboxes

Hoping someone could clarify this for me, I understand that the 'roles' functionality is not available in the Workdesk CE release to allow for department or team customised views onto the application and it's components.  However, could someone tell me whether team/group inboxes are. I.e. Where an individual has their personal inbox but also access to a team level inbox where they can view and take ownership of cases?

Thanks in advance.

Hi there,

Alfresco Workdesk is using the Activiti public API to display assigned tasks in an inbox. Unfortunately this API only offers a function to display assigned tasks for a user, but there is no way to view "unassigned" tasks that were assigned to a user group, i.e. currently there is no way to claim a unassigned task and only assigned tasks are shown in a user´s inbox.

Best regards,
Dennis

Thanks for the response

On this page it seems to suggest that tasks can be displayed that are in a personal or group inbox http://www.alfresco.com/products/case-management

Can you explain what that functionality is referring to? Or is it just in the Enterprise release?

I've had a look at the Green Energy sample scenario and it seems that when logged in as the csu user (Carl customer) that I can take work from and re-assign work to the customer service or customer claims areas, what are they? Are they not team areas that Activiti can route work into for collection/redistribution?

If the above is not the way to go could you suggest a way that we could allow a user to view unassigned tasks sitting in a team inbox and take ownership, or to allow a manager to access tasks assigned to their team and distribute to an individual? Is this achievable through Alfresco Share? Or might we be better building a Dashlet in Workdesk that displays unassigned tasks sitting with the team, and a take ownership button that assigns the task from team level down to the individual?

Any advise welcome.

Thanks.

Hi there again,

I can see the section you are referring to. This inbox view is not based on the Activiti engine, but it is a virtual view based on document metadata. You can build those views using virtual eFiles, where documents then are searched in the background and displayed to users per folder based on some property values then.

Example:

If the property assignee in the document is set to you, it will be displayed in your Inbox virtual folder, when the underlying template is searching for documents, where the assignee property values equals your user name.

Best regards,
Dennis

Ok that makes sense, so the Customer Service folder I'm seeing in the sample application is a virtual folder that is searching for any content where the assignee is 'customer service', so if we wanted we could set up an eFile for every team in our company, that way individuals can take ownership of work assigned at team level, the problem with that in CE is the roles have been removed so out of the box everyone would see every team folder? Which then means storing something in the user session (collected through an ldap lookup or from the Alfresco user data) to identify the teams that should be displayed and hide/reveal the eFiles that way?

Although I'd suspect that building eFile structures for every team in our company would be slow to collect search results and render particularly as the document repository grows in size?

Thanks.
