How does one undeclare - or remove the 'record' status - of a document that was declared a record in error on a non Records management site?

You can reject the record as detailed here - Rejected records | Alfresco Documentation

By default you'll find records that have been declared but not completed in the Unfiled Records area of the File Plan

Thanks.

The Reject option is available only where the user who declared the document as a record was not me. How do I reject my own record if I am also the RM manager?

This should work. There's a specific capability for rejecting records (called, imaginatively "Reject Records"). If your user is part of the RM Manager role, and that role still has the Reject Records capability (it does out of the box), and you don't see the option to reject a record, then something else is going on.

Note: It's not possible to reject records when you used "Declare Version as Record", only when you use "Declare as Record" - if you've declared the version instead, then you can just delete the record without impacting the original document in your collaboration site.

Hi David

Thanks so much for the reply.

Admittedly I am new to the RM module and am working my way through it all.

If you have any suggestions on recommended reading or tutorials I should be investigating, I’d appreciate that.

I have noticed that RM comes with its own help menu, but I noticed that the help option still only displays the community version Alfresco help menu if I select “Help”. Is there a way to specify which help menu Alfresco shows depending on the component one is using in Alfresco – i.e. if I am in the RM site/module then see RM Help, and if in the Alfresco no RM sites, then show standard Help menu…?

Regards,

Nadine

Hi Nadine

Customizing the help menu for specific modules is a great idea! It's not something you can do right now, but I'll raise it with our product team and see if we can add it in future.

In the Records Management help (which you can access directly here - Alfresco Records Management 2.5 | Alfresco Documentation ) there are lots of videos and overviews which should go someway to getting you started.

There's also a book available on Records Management (https://www.amazon.co.uk/Alfresco-Records-Management-Dick-Weisinger-ebook/dp/B0056ZUJ3W ) but it's for older versions.

Hope this helps.

Hi guys!

I really appreciate all the inputs and responses – thank you!

I’ll get to work on working through the documentation via the links provided..

Hi Nadine Helm,

The RM specific help is listed under modules on our documentation site:

The reason the help link you've used takes you to the community Alfresco documentation is that the link is part of Share, and RM builds on top of Share. With the RM module, we don't provide an in-app link to the RM specific documentation - I've raised this issue with our product manager for consideration as a feature to add in the future.
