Functionnalities of Alfresco

Hello,

I come to you with a few questions about the functionnalities of Alfresco (Community and Enterprise). I'm looking for a DMS which fill certain needs.

1) Is it possible to use Alfresco with MS Outlook, or another mail manager?
I would like to easily move an attachment of a mail to Alfresco, keeping some metadatas (like the sender informations).

2) Can documents be stored in Alfresco according to its metadatas? I would like to store my documents in folders, corresponding to the name of my clients.

3) Does Alfresco Community provide a save/backup system, and can I use it to save my documents on another server?

I don't have a lot of Java competences, that's why I would like to know if Alfresco can do what I want before starting to use it.

I thank you in advance for your answers.

Hello,

1)
There are quite a few ways to do that.
- Alfresco5 have it OOTB integrated in theAlfresco UI. Not sure if compatible with community though. You'd have to double check.
- For previous versions of Alfresco I know some partners coded solutions about this. But most likely not enterprise either
- Setup Alfresco Imap
Doing so you can connect Alfresco in your email client (like outlook) and then just drag and drop stuff there:
https://wiki.alfresco.com/wiki/IMAP

So it mostly depends on your version of Alfresco and the kind of UI you expect.

2)
Yes you can do this with folder rules or behaviours. On document update, if the said property isn't empty, move the document to the right place.
It will require a bit of coding though. Either Java or Javascript.

3)
Do you mean replication or backup?
Anyway, it can do both.

Hello and thank you for your answer.

I'll look on the solutions you gave me to find what I need.

I have another question : Can I scan a file directly into an Alfresco folder, or do I need to install an extension (like documalis)?

Thank you.
