Documents Links (not copy)

Hi.

I have a customer that wants to save documents in differente directories and ask if it's possible to link one document with others placed in different directories without making a copy of them.

The need is for having a group of documents related, so as to search for one document (example, a bill) for its properties and then have the links to other documents related (example, shipping notes).

He is using only the webclient interface.

I'm wondering two possible solutions.
First, making a space and store the document and the links for that document. My question in this solution is how to make a link from the webclient.
Second, using records management. I have seen this add-on, but I have not used it, so I don't know if it covers what I have to do.

Thanks for the replies.

Hi Michael,
you can link documents to other folders by
  1. clicking the copy button to put the document in the alfresco clipboard

  2. navigate to the folder you want to link it to

  3. in the clipboard you press the "create link" button to create the link
Or you download the LinkItemToSpaceAction which can be found here http://forge.alfresco.com/projects/linkitemtospace/.
After including this action into Alfresco you can:
  • Click the ‘Details’ button of the space or the item you want to create a link of.

  • In the details view click the ‘Run Action’ link.

  • Now you can choose the ‘Link item to folder’ action

  • Click ‘Set values and add’ and choose a destination for the link.

  • Click finish and the link is created in the destination folder.

I have tried by using

usage: install <AMPFileLocation> <WARFileLocation> [options]

Finally i got success for installing this module in alfresco.war but when i started alfresco server, tomcat is giving runtime exception that

java.lang.UnsupportedClassVersionError: Bad  version number in .class  file (Unable to  load class de.hmedia.alfresco.actions.LinkToSpaceActionExecuter).

Could any one help me.  Looking for helping hands..

Sincerely,
Pawan

While testing, we couldn't reproduce this error with 2.9b and 3.0stable.
The extension by the way, doesn't really do, what its name implies. Foremost, it is not easier to use than the way Alfresco has integrated this option and that is described above.
Also, with this extension you have something to upgrade, if you upgrade your Alfresco to another version - that is, if the extension gets updates in the future. So the best way is to go with the integrated link option.

Hi.

hi Michael,
I would approach it differently :
a) think about tagging the content with some kind of ID
b) think about a logical hierarchy - if you can identify a business "parent", add (child?)-associations to the parent type and link all documents

Since both of these are metadata topicsc, you could even do that with customtypes with <parent>cm:folder</parent>

Maybe these are alternatives.

Hello,
we have a similar issue, we want to create links/symbolic links to existing files and folders in alfresco.
Is this feature somehow implemented already or does it require an extension like it is mentioned in the previous posts?

Sincerely

Hi All,
Parashift have developed a module to help with this issue. Parashift’s Document Linking add-on for Alfresco allows users to access documents from multiple locations, without having to copy or duplicate them to other sites or folders. The module also solves other challenges by ensuring any changes made to the parent document are automatically replicated to all versions regardless of their location in Alfresco. All users will now have confidence that they are always working with the most up-to-date version, such as pricing lists and company policies and procedures. If you would like to find out more, follow the link: https://www.parashift.com.au/document-linking/
