Share template with folder rules

Hi there,
I've seen postings similar to this but no obvious answers. I have various rules attached to the documentLibrary folder within a Share site. I want these rules applied to every Share site created in future. Is there a way of enforcing these rules when a new Share Site is created? I know it's something to do with creating a custom site template, but have not found clear instructions on how to embed rules into a share template.

Any pointers?
Thanks,
Eddie

I assume you have the normal 3.2r or 3.2r2 share version.

I also assume that you desire functionality in share that is not really associated with rules, but more associated with the functionality that the alfresco web client has (actions  for example).

Assuming this, you would be best adviced to wait for the alfresco & share 3.3 version. That is, to my best knowledge.

In essence, the "old" share version lacks rules in the document library. The "new" 3.3 version does not incorporate rules either, but is certainly more complete with respect to functionality similar to the alfresco web client.

In general, you should not want to manage rules by means of share, since those rules determine actions in your backbone (alfresco).

You can (fairly easily) introduce rules, working behind the document library of share, when adding the desired rules to your alfresco backbone. Just go to alfresco, to Sites and add (and test) the rules to a test site.

Then, in order to have share (when creating new sites) add the rules persistently to document libraries (of various sites), no tweaking of code should be necessary.

It should be sufficient to add the rules from the test site to the Sites map in the alfresco backbone AND when creating the rules, just choosing the option (in the rule wizard, step 3) "apply to sub spaces".

You then have an identical set of rules applied to each of your share sites.

In summary, the new 3.3 share version has additional functionality (if you are looking for alfresco similar functionality) and the alfresco backbone can be used to apply rules to all share sites.

Hope this helps.

This is true.

This is not true.

Share v3.3 has a complete (in fact, more complete than the Explorer client's) implementation of rules management.

Hi trialot (& Mike H),
Thanks for your response. I think I understand what you mean by setting the rules up on the 'Site' folder & then applying to all sub folder (which then will apply to all share sites created) - that would work fine except in this instance - let me explain.

Running 3.2r2 CE.

We need folders accessible to all share users to act as a 'repository' - so that 'published' (pdf) documents can be viewed but not edited. We achieve this by creating a Share site called 'Library', with a 'Published' folder, with all users having 'Consumer' access only.

We then have the usual Share collaboration site(s), each with 2 folders, 'At Work' & 'Approved'. The 'At Work' folder contains documents in draft, once approved they are moved to 'Approved'. The 'Approved' folder is where approved documents sit until their cm:from date triggers their copy & transformation (pdf) to the appropriate 'Published' folder.

So, in this scenario, we can't apply rules at the top level 'Sites' folder within Explorer - as the rules managing the 'Published' site/folder(s) are different to the rules governing content in the other Share sites. It is the rules behind the 'At Work' & 'Approved' folders that need copying over to each new Share site.

So, that's the reason we'd like to have a Share template that included folder rules. The other option is to wait until 3.3 is released - as that would give us Share access to the 'Repository' normally only available via the Explorer web client. We'd rather not do this as all our development effort has been based upon 3.2r2 & we're not sure how much re-working would be necessary.

Thanks
Eddie
