topic Sharebox - Secure External Sharing in Alfresco Forum

It is not a secret that Alfresco comes with the ability to share files with external users. However, we figured out that this function doesn't serve most of the external sharing requirements that users are in need. We believe you'll see why when you're done reading this post.

Therefore, we built a custom sharing add-on for Alfresco called Sharebox for Alfresco.

Sharebox for Alfresco has the following primary features.

Secure External Sharing
ShareBox is built to be secure. We use a number of industry-standard techniques to ensure every access to shared content is secure.

Email-based single sign-on and security
When a folder is shared to an external user, the user gets a unique token with a link. This is used for login and can be manually deactivated any time. It cannot get any simpler. We already mentioned that Sharebox is secure, token links, therefore, have built-in limits to prevent unauthorized use.

Auditable
Every action performed to share a folder through Sharebox is auditable. A user can view all actions by the external user with a timestamp and verify when they collaborated on content.

Share to multiple users
Share a folder to multiple external users at the same time. You just need their email, no user account management. Most of the time the external user can manage and request new access links if old links have expired. Should there be a need for a new link to be sent, the sharing user can do that. No system administrator involvement needed.

Automatic Expiry for Shared Content
Add an expiry date to the shared folder. For a given folder all the shares become invalid when the expiry date is reached. By configuration, the system administrator can set default expiry date and max number of days a folder can be shared.

Email Notifications
You can choose to send a custom email notification to all the external users for a shared folder. These email notifications can be customized and are available in several languages.

Multilingual
Built-in Sweden and as with almost with every Loftux Product, Sharebox is multilingual by nature. Currently, Sharebox is localized to French, German, Dutch, Danish, Swedish and of course English.

Extensibility
Once you have Sharebox installed, you get access to a custom Alfresco action that can be used by you/your developers that can be reused anywhere within Alfresco.

Dedicated External User Interface
External users who access the shared content are presented with a mobile-friendly, beautiful view of the folder including important information about the files and folders that are shared.

Download & Upload for External Users
External users can download content from the shared folder as well as upload new content without overwriting any shared content. Versioning of files can be turned on or of per share basis. The information on who uploaded and when is available to the internal user who shared the content.

Preview for External Users
Thumbnail previews are provided for external users who view the folder through the external interface.

Visit Loftux Alfresco Tillägg (Swedish) or Loftux Alfresco Add-ons (English) for more Add-ons
Loftux AB https://loftux.se https://loftux.com
