Is it possible that your rule is not configured to exclude renditions and therefore when the user browses the repository and opens a document library, it is triggering the creation of renditions which then trigger the rule?

Jeff

Im not sure what you mean by renditions? All i did was create a rule to send email, screenshot attached.

As a test, try this:

Create a folder with a document in it and make sure the thumbnail and preview are created.

Without changing the document or adding any new documents to the folder, now log in to Share as a user with consumer access and go directly to that folder and browse the document.

I expect that you will not see the email get sent upon browsing the folder in this way.

The reason is that you have told your rule to run on sub-folders. I believe this means that the rule will also run against renditions (thumbnails are renditions) which are stored as children of the document.

If that is the case, you can prevent this from happening by adding a "not" condition to the rule which is to not run when the type is "cm:thumbnail".

Jeff

You could use the "Unless all conditions are met" section of the rule config. Unfortunately, "cm:thumbnail" isn't in the list of types out-of-the-box. So you could configure Share to add that to the list, then you could select it in the rule config.

Alternatively, instead of using the "Send email" action in the rule, you could use "Execute script". Then point to a custom server-side JavaScript file that you upload to Data Dictionary/Scripts. In that file you could do the type check and if it passes, instantiate the email action and send it.

Jeff
